Application Letter Formats Every Bangladeshi Student Should Know

The correct format for school, college, university, and job application letters in Bangladesh, with five worked examples you can adapt.

Every Bangladeshi student writes application letters — to the headmaster for leave, to the principal for a testimonial, to a department for transcripts, to an employer for a job. Yet most students never get formal instruction on what the correct format actually looks like, which is why so many applications get returned, ignored, or quietly rejected.

This guide covers the formats every student needs to know, with examples you can adapt directly.

The universal structure of a formal application

Every formal application in Bangladesh — whether school, college, university, or workplace — uses the same skeleton:

  1. Date (top right)
  2. Addressee block (top left: name, designation, institution)
  3. Subject line (single line, summarising the request)
  4. Salutation ("Sir / Madam,")
  5. Body (1–3 short paragraphs)
  6. Closing ("Yours obediently / Yours faithfully,")
  7. Signature block (Name, class/roll/department/ID)

Therefore, I shall not be able to attend school from 15 January to 18 January 2026. I have enclosed the medical certificate with this application for your kind consideration.

5. Study tour application

For a full breakdown with multiple examples, see our dedicated guide: Study Tour Application: Format, Tips, and 5 Examples.

Common mistakes to avoid

  • Using "Dear Sir" without a comma. "Sir," with a comma is correct.
  • Mixing British and American spelling. Pick British English for formal Bangladeshi documents.
  • Long, flowery openings. "I beg to most humbly submit…" is outdated. "With due respect, I beg to state…" is the current standard.
  • Writing in informal English. No contractions (don't, can't, it's).
  • Forgetting the subject line. Without it, the application may not be routed correctly.
  • Skipping the signature block. Always include your name, class/department, and roll/ID at the bottom.

"Yours obediently" vs "Yours faithfully" vs "Yours sincerely"

  • Yours obediently: When writing to a school or college authority (headmaster, principal, teacher).
  • Yours faithfully: When writing to an unknown recipient ("Dear Sir / Madam"), typically in job applications and formal letters to organisations.
  • Yours sincerely: When writing to someone whose name you know and have addressed by name ("Dear Mr. Karim").
